What services do you provide for faculty and staff?
Education Abroad assists faculty and staff with a full array of services, including the opportunity to request presentations for classes or organizations.

What does Education Abroad offer to students?
Education Abroad offer numerous study abroad opportunities to students for the summer, semester or full academic year.

When and how should I refer a student to Education Abroad?
Please refer students to Education Abroad when they:
- are interested in studying abroad
- wonder about how study abroad would be beneficial in the academic journey
- want to enhance their global awareness and cultural understanding
Encourage students to attend a General Information Session, or to schedule an appointment.

How do I launch a new faculty-led program?
Steps to launch a new faculty-led program:
- Create your program concept
- Meet with Education Abroad staff for guidance in developing the program
- Meet with your department chair and college dean to discuss program appropriatness
- Complete and submit the online Feasibility Proposal for faculty-led programs by March 1(the year before you are planning to offer the program).
- The Advisory Board for Faculty-led programs will review the proposal and provide you with feedback and program recommendations.
- Review and respond to the feedback.
- Complete and submit the online Program Application
- Your program will be submitted to the Board of Regents for approval
- Complete all mandatory faculty training

Do I need to do something specific to add a location to my program?
Please complete the Proposal for existing programs requesting a new location by March 1st of the year before the program. You will need support letter for your Department Chair and College Dean.

Do I need to take any steps if I want to change my program provider?
All program providers must be fully vetted and approved by Texas State University before they can be considered for any services. Please refer to the list of currently approved providers.
- If your proposed provider is already approved by Texas State:
- confirm with Education Abroad that your proposed provider is approved.
- complete the new program provider questionnaire at least six weeks before the deadline of your program application.
- If your proposed provider is NOT on the approved list:
- If you are considering a new provider for your program that has not been fully vetted and approved by Texas State, submit the new program provider questionnaire at least 3 months before your program application is due.
- Refer your proposed provider to the Education abroad program provider webpage so they can complete the application process. If your proposed provider has any questions, they may contact Education Abroad for guidance.

What forms are required to complete my program application?
You will complete your program application on the .net program application site where you will enter travel dates, course numbers and upload course syllabi, course schedule, budget, provider proposal and program itinerary. You will also need to complete the Content for the Online Brochure form.

What should I do if I want to work with a different provider not on the approved list?
If you are considering a provider that has not been fully vetted and approved by Texas State, please submit the new program provider questionnaire at least 3 months before your program application is due, and refer your proposed provider to the Education Abroad program provider application. If your proposed provider has any questions, they may contact Education Abroad for guidance.

How do I choose a program provider?
The 3rd party providers develop tailor made study abroad programs in which Texas State University retains the academic control for the program, but the provider makes all of the logistical arrangement, including: meals, classroom, cultural academic visits, transportation, instructions. It can be a local university, schools or institutes, travel agencies, local experts or education abroad providers. Texas State already has a list of approved providers.
The best way to choose your program provider is to contact severals asking for a quote, so you can compare cost, and also their way of working (communication methods, response time, services offered, etc.).

Education Abroad Fair

How do I participate in the Education Abroad Fair?
The Education Abroad Fair is an open-door event where students can come and go to learn about study abroad opportunities. To participate to the Fair, you will need to complete the Registration Form.

Will Education Abroad provides flyers for the promotion of my program?
The Education Abroad office will NOT print program brochures but we will provide a QR code to your online brochure to display on your table.

Can I choose my table location at the Fair?
Prior to the event, APD who registered to participate to the Fair will receive an email with a release date of an early table sign up link to pick their table location according to the Grand Ballroom layout (fisrt come first serve basis).

When will I receive my travel advance?
According to the UPPS 05.06.04 Travel Advance Policy, the travel advance is requested on the Concur Travel Request and are issued no earlier than 14 calendar days before the travel start date.

Can I bring guest(s) while teaching abroad?
A successful faculty-led education abroad program depends on the full attention of the faculty leaders, whose primary responsibility is to ensure a safe and high-qualiity educational experience for all students.
Faculty are discouraged from bringing family/guests on the program; should a faculty member decide to bring guests, guests may not interfere with the duties of the faculty members, or have an impact on the daily operations or budget of the program.
It is recommended that faculty guests visit before or after the official program dates, or during a free weekend. It is also recommended that faculty guests do not travel with the Education Abroad group on program field trips or weekend excursions because of the financial difficulties in maintaining a separation of program versus guest payments, the liability for the faculty member and the university, and the increased potential for misperceptions related to the purpose of the program. (academic versus vacation).

Do I need to inform Education Abroad of my guest(s) during the Education Abroad program?
Faculty members are required to provide Education Abroad a list of all guests regardless of the duration of their visit.

Are any documents required for my guest(s)?
Faculty members' guest(s) are required to provide Education Abroad the following documents:
- Notification of Participation of Guests
- T-4G (Release of Liability and Assumption of Risk for Foreign Travel for Guests)
- T-4M (Release of Liability and Assumption of Risk for Foreign Travel for Minors)
- Proof of health insurance coverage purchased through Texas State

Can I bring my children as guest(s)?
If the guest is under the age of 18, the faculty member must provide a full-time caretaker. This caretaker must be eighteen years of age or older. A sibling under the age of eighteen may not act as the caretake for his/her younger siblings. This caretaker could be the spouse/partner of the faculty member.
The APD or other Texas State faculty member cannot be considered the caretaker.
It is recommended that faculty members consider carefully the number of children being taken on Education Abroad programs. Logistically, the more children that are involved, the more difficult it becomes to make arrangements that will accommodate large families, and the more difficult it is for the faculty member to focus their full attention on the Education Abroad program.

Can my guest(s) use Texas State University International health insurance?
International travel insurance coverage through Texas State is mandatory for all faculty guest(s).

How do I register for the insurance?
Prior the program departure, the Education Abroad office will provide the program details as well as the roster of the program, including guest(s) to On Call International Insurance.

Do I need a phone with an international plan?
Yes, APDs and faculty are responsible to arrange to have functionning 24/7 phone with international data plan for the entire duration of the program.
